How we handle your data
Last updated: October 20, 2026
Short version: your data is yours. We use it to run the tools we build for you, and for nothing else. We don't sell it, we don't use it for marketing, and when you leave, you can take it with you and we delete it.
Who we are
Goodtimes Media Ltd. is a small company in Victoria, BC that builds custom AI apps for construction companies. Ryan Jones is the founder and the person responsible for privacy. Questions go to him at [email protected]. We handle personal information in line with BC's Personal Information Protection Act (PIPA) and, where it applies, Canada's PIPEDA.
What we collect
Through the tools we build for you, your team may enter:
- Job information: project names, addresses, schedules, orders, RFIs, decisions, estimates and notes.
- Photos and voice notes from site, including anything that happens to be in the frame.
- Employee and crew information: names, roles, who was on site, and login details (name and email) for the people you give access to.
- Your clients' information: names, addresses and contact details you put into updates, estimates or logs.
On our own website and when you contact us, we collect what you give us: name, company, phone, email and what you're asking about. Our hosting providers may also log basic technical information (such as IP address and browser type) automatically.
What we use it for
- To run your tool: turning notes into reports, estimates, logs and client updates.
- To support and fix your tool when you ask us to.
- To reply to enquiries, bill you and keep business records the law requires.
We do not sell your data, rent it, use it to advertise, or show it to other clients.
Who else touches it
Our tools and website run on a small number of outside services. Your data passes through them only so things can work:
- Contact form: processed by FormSubmit (formsubmit.co), which delivers your submission by email to our inbox at [email protected] (a Google Gmail account).
- Demo apps: hosted on Netlify and Vercel and use fictional sample data only. Please don't enter real personal or business information. Anything you enter stays in your own browser and is not sent to us. These hosts may log standard technical data (like IP address) to operate their service.
- Client tools: hosting and AI providers chosen for your project, which we'll name for you in writing before your tool goes live.
Some of these providers may store or process data outside Canada, including in the United States, where it may be subject to local laws. Where we can, we use business settings that stop providers from using your data to train their AI models. Your project may run on accounts in your company's name; if so, that provider's terms with you apply too.
Photos and people
Site photos often catch people, licence plates, neighbours' homes and inside clients' houses. Please:
- Take photos of the work, not the people, where you can.
- Let your crew and your clients know you use a tool that stores site photos and notes.
- Don't put social insurance numbers, banking details, health information or passwords into the tool. It isn't built for that.
You decide who on your team has access, and you can remove people at any time.
Your employees' information
We only hold what's needed to run the tool: names, roles, logins, and the site records your team creates. We don't use it to monitor or rate anyone. How your company uses those records with its own staff is up to you and your own policies.
How we protect it
- Access is limited to the people you approve and to Ryan for support.
- Data is sent over encrypted connections (HTTPS).
- Logins are required to see your data in client tools.
No system is perfectly secure. If we learn that your data has been accessed without permission, we will tell you promptly, tell you what we know, and help you meet any duty you have to notify people.
How long we keep it
We keep your data for as long as you use the tool. When you stop:
- On request, we export your data (for example CSV and PDF) within 10 business days.
- We delete it from our systems and ask our providers to delete it within 30 days, except billing and business records we must keep by law.
Contact-form enquiries are kept only as long as needed to respond and run our business.
Your rights
Anyone whose personal information we hold can ask to see it, correct it, or withdraw consent by emailing [email protected]. We'll respond within 30 days. For tools we run for a builder, we'll usually work through that builder to answer. If you're not happy with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
Changes
If we change how we handle data, we'll update this page and tell active clients before the change takes effect.
